Privacy Policy
This policy explains what personal data Teamsheet processes when clubs, staff and players use our web workspace and mobile app.
Who we are
Teamsheet is operated by PG Technologies (“we”, “us”). For privacy questions or data rights requests, contact [email protected].
What this covers
This policy applies to the Teamsheet marketing site, the club web application and the Teamsheet mobile apps for iOS and Android. Clubs may also collect information from players and prospects under their own responsibility — for example through public availability or enquiry forms they publish.
Data we collect
Depending on how you use Teamsheet, we may process:
- Account details — name, email address, password (stored hashed), role within a club, and profile preferences such as theme.
- Club operations data — team membership, fixtures, availability responses, squads and formations, match events and scores, training attendance, and recruitment or enquiry information you or your club enter.
- Payment-related data — charge amounts, status and related club billing records. Card and bank details are handled by our payment providers; we do not store full card numbers.
- Device and notification data — push notification tokens, device name and platform when you enable alerts on mobile. Biometric unlock (Face ID, Touch ID or device biometrics) stays on your device; we do not receive biometric templates.
- Technical logs — IP address, browser or app version, and diagnostic information needed to keep the service secure and reliable.
- Optional location aids — address search may use Mapbox when clubs set venue or contact addresses.
How we use data
We use personal data to:
- Provide fixtures, availability, squad selection, matchday tools, training and recruitment features.
- Authenticate users, manage invitations and enforce club roles.
- Send transactional email and, with permission, push notifications about fixtures and club activity.
- Process club charges through connected payment providers.
- Sync competition fixtures from sources a club connects (for example FA Full-Time).
- Maintain, secure and improve the service, including troubleshooting and abuse prevention.
Where UK GDPR applies, our bases include performing a contract with you or your club, legitimate interests in running and securing the product, and consent where required (for example certain device permissions for notifications or biometrics).
Sharing
We do not sell personal data. We share it only as needed to operate Teamsheet, including with:
- Club administrators and staff with appropriate roles — so they can run availability, squads, matchday and recruitment for that club.
- Stripe and GoCardless when a club connects payments and processes charges.
- Firebase Cloud Messaging to deliver push notifications on mobile.
- Email delivery providers (currently Resend) to send account and club messages.
- Mapbox when address search is used in club settings.
- Hosting and infrastructure providers that process data on our instructions.
We may also disclose information if required by law, or to protect the rights, safety or integrity of Teamsheet, our users or the public.
International transfers
Some providers may process data outside the United Kingdom. Where that happens, we use appropriate safeguards required by applicable law, such as standard contractual clauses or equivalent measures offered by the provider.
Retention
We keep account and club data while the club or user account remains active, and for a reasonable period afterwards where needed for security, disputes, backups or legal obligations. Clubs control much of the operational content they store; deleting a club or user may remove or anonymise related records subject to those needs.
Security
We use technical and organisational measures appropriate to the nature of club operations data, including encrypted transport, hashed passwords and access controls by club role. No online service is perfectly secure; please use a strong unique password and protect device unlock methods.
Your rights
Depending on where you live, you may have rights to access, correct, delete or restrict use of your personal data, to object to certain processing, and to data portability. You may also complain to the UK Information Commissioner's Office (ICO) or your local supervisory authority.
To exercise rights, email [email protected]. We may need to verify your identity and the club context of the request.
Children
Teamsheet is built for club operations and may include youth teams managed by adults. It is not directed at children acting alone. Club staff are responsible for obtaining any parental or guardian consents required for players under 18.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of Teamsheet after an update means you accept the revised policy where permitted by law.
